San Diego Sol: a 1,000-player club, one app at the door.

San Diego's premier youth basketball club since 1997, with alumni including Kelsey Plum. A club that records its games with Trace AI wanted a door just as modern, so it swapped a Square reader and paper passes for Admittee. Three coaches tell the story.

Ticketing & passesReporting

Knowing who came, and what came in.

Coach Cleveland runs a club of 255+ championship teams, with about 10 courts across two gyms in Scripps Ranch and San Marcos, and 80+ event days a year. At that size, the numbers from the door matter, and before Admittee they lived in two places: card payments in Square, and family passes on paper. Neither one said much about which event a payment belonged to, or when it happened.

Now Coach Cleveland sees it all in one place. How many people came to each league day and each tournament, and every payment organized by date, by event, and by the minute.

The Family Pass made the money more predictable, too. Families buy it whenever they like and pay up front, so the money arrives before the games do. Families have used 76% of the credits on them, and nearly half have come back for a second pass. That's what convinced Sol to offer a pass to everyone.

The Family Pass has been a real help for our families. It saves them about a third on every game, the whole family shares it, and it never expires. For the club, the money comes in up front, and I can see every entry and every payment without asking anyone.

One iPad at the door.

Sol's door used to run on two systems that never met: Square for payments, and a paper card for family passes. Staff juggled both, all day, on the busiest weekends of the year.

Now Coach Ota's staff runs the door from the Admittee Onsite app on an iPad. Family Passes scan straight from a parent's phone, and a tournament day takes two credits off automatically. Families without a pass pay on a Stripe reader paired to the same iPad, and 45% of them tap with a phone wallet rather than a card.

It holds up at volume. Memorial Day weekend ran across several gyms at once, and in the busiest hour hundreds of families came through the door, each scanned in or paid in seconds on the same app.

We used to juggle Square for payments and a paper card for family passes. Now it's one iPad. Scan the pass or tap to pay, and they're in.

Families never leave Sol's website.

Coach Lasalita oversees Sol's website, technology, and marketing, and coaches on top of it. What he likes most about sandiegosol.com is that families never have to leave it. The Admittee calendar is embedded on Sol's Tickets page and the Family Pass checkout on its Family Pass page, so a parent finds the date or buys the pass and pays right there. Every Family Pass so far was bought online; buying game-day tickets ahead is newer, and until now most families have paid at the door.

Families like the pass for simple reasons. It costs less per game than paying at the gate, the whole family shares it, it never expires, and it lives in Apple or Google Wallet, so there's nothing to lose. Nearly three in four families holding a pass have come through the door on five or more days.

Families never have to leave our website. They find the date, buy the pass, and it's in their phone before they get in the car.
