Tips for Using Data Insights

Tips for Using Data Insights

Admittee’s analytics don’t just show what happened — they help you plan smarter for what’s next. Here are some ways to use your event and school-wide data to improve attendance, fundraising, and overall success.

📈 Compare Attendance vs. Tickets Sold

  • Look at attendance rates (tickets sold vs. scanned at the gate).

  • If attendance is lower than expected, consider:

    • Sending reminder emails closer to event day

    • Adding QR posters at the gate for easy last-minute purchases

    • Offering passes for families who want more flexibility

🎟 Adjust Ticket Pricing

  • Start with your goals → Are you trying to maximize attendance, revenue, or strike a balance?

    • If attendance is the priority, keep ticket prices low and accessible.

    • If revenue is the priority, test slightly higher prices or offer premium tiers (like reserved seating).

  • Review sales by ticket type (student vs. general vs. reserved) to see what families actually choose.

  • Decide how to handle fees → You can embed, pass them to buyers, or give an option to cover.

  • Compare tickets vs. passes → Passes (season or flex) may reduce per-event revenue but increase overall attendance and simplify sales loyal for families.

🍿 Optimize Concessions

  • Check concession sales by event to see which events generate the most revenue.

  • Use that data to stock more for high-traffic events and streamline for smaller ones.

  • Place extra QR posters where they’ll catch more buyers.

💰 Strengthen Fundraising

  • Review fundraiser performance alongside event revenue.

  • If donations spike at events, consider adding a fundraiser to similar ones next season.

  • Share progress updates mid-event to encourage on-the-spot giving.

🏫 Spot Seasonal Trends

  • Use school-wide analytics to compare across the year.

  • Identify which events drive the most sales (fall football, spring musicals, tournaments).

  • Plan your biggest fundraisers and sponsorship pushes around high-traffic seasons.

✅ By turning data into action, you’ll not only plan smoother events but also raise more funds, engage families better, and give your community the best experience possible.
