Tips for event day setup
Running a smooth event starts with preparation. These tips will help you set up gates, concessions, and volunteers so families have a great experience and your team feels confident.
🎟 Set Up Your Gates
Post QR Posters at the doors leading to the gate and right at the gate itself.
Parents can scan and buy tickets on the spot if they haven’t purchased ahead of time.
Get posters by clicking Share → Print Poster from your event.
Make sure volunteers at the gate have the unique Event Day App link.
Test a ticket scan before doors open.
🍿 Organize Concessions
Print and post a Concessions QR Poster at the stand so buyers can pay instantly.
Get the Concessions poster by clicking Event Day Tools → Print Concessions Poster
Have volunteers ready to call out totals — no item setup required.
Use multiple devices if you expect a crowd. Orders sync automatically across devices.
Place an extra poster near the concessions line so families can have it ready before reaching the counter.
👥 Prepare Your Volunteers
Share the Event Day App link in advance so they can log in on their own phones or tablets.
Assign clear roles:
Gate check-ins
Concessions
Floaters for questions or cash buyers (if allowed)
Encourage volunteers to run a quick test scan or sale before families arrive.
Remind concessions volunteers that orders are confirmed using unique color-coded numbers, which appear for both the buyer and the seller.
📊 Keep Track in Real Time
Remind volunteers that all scans and sales appear instantly in the Event Day App activity feed.
Admins can also track everything in the Event Activity dashboard for full records.
✅ With QR posters in place, devices ready, and volunteers trained, your event day will run smoothly and families will enjoy a fast, stress-free experience.
